Education Events Coordinator

We are looking for Education Events Coordinator to manage the planning, coordination, and execution of educational clinics and events. This role serves as the primary liaison between clinicians, writers, ambassadors, and internal teams, ensuring that all educational sessions are delivered smoothly, on time, and within budget. The Coordinator oversees logistics, contracts, calendars, promotional materials, and post-event follow-up, while also tracking outcomes to inform future programming decisions.

Key responsibilities

Event Coordination

  • Act as the primary liaison with writers, clinicians, and ambassadors regarding session selection, applications, approvals, and scheduling
  • Coordinate travel logistics, session materials, equipment, and assistants (e.g., pianos, accompanists)
  • Ensure clinicians receive complete and accurate event details, including schedules, locations, and technical requirements
  • Attend select events to provide on-site support when needed

Budget, Contracts & Scheduling

  • Maintain events budgets and ensure all events remain within approved financial parameters
  • Track and monitor contracts to ensure fulfillment of contracted session commitments
  • Manage and maintain events calendar

Materials, Promotion & Communication

  • Oversee events booklet and brochure design, printing, and packet ordering
  • Coordinate creation of event artwork and social media assets for use by both the company and ambassadors
  • Maintain and update the online events calendar on the company website
  • Manage follow-up communications and maintain databases

Editorial & Program Support

  • Collaborate with choral and instrumental editors to curate and distribute new music for state lists and organizational reading sessions
  • Support trade shows and clinics by coordinating equipment delivery, printed materials, and shipping of supplies
  • Assist with additional in-office operational tasks as needed

Reporting & Continuous Improvement

  • Process events expenses, track and analyze event data and outcomes
  • Provide recommendations to improve session content and guide decisions on future event participation

Required experience

  • Background in music education as an educator, music director, or professional/semi-professional musician
  • Experience coordinating projects related to events, marketing, or print production (experience across multiple areas is a plus)
  • Exceptional organizational and time-management skills
  • Excellent interpersonal and communication skills, with the ability to work professionally with high-profile industry leaders
  • Ability to manage multiple priorities and deadlines simultaneously
  • Comfortable working with budgets, calendars, and tracking systems
  • Willingness and ability to travel as needed
