We are looking for a HubSpot CRM & Data Manager who will be responsible for managing our daily CRM processes, data operations, and outreach systems. This includes ensuring database accuracy and compliance, administering HubSpot across Sales and developing automations and analytics that convert outreach into qualified leads, meetings, and revenue. This is a strategic role, as the quality of our data directly determines the effectiveness of our outreach and the value we deliver to clients.

Data Management & Quality Control:
- Maintain and regularly update attendee databases to ensure accuracy across all events.
- Clean, deduplicate, and standardize data collected from multiple sources.
- Develop and enforce quality control processes to safeguard data integrity.
- Monitor data accuracy metrics and drive continuous improvements in data quality.
- Build and manage targeted attendee lists for event-specific meeting programs.
- Segment audiences based on factors such as industry, seniority, interests, and meeting preferences.
- Coordinate list delivery to event organizers in line with project timelines.
- Track list performance and document segmentation logic for transparency and repeatability.
HubSpot CRM Administration:
- Administration: Manage properties, custom objects, pipelines, lifecycle stages, lead scoring, user roles, and permissions.
- Automation: Design and maintain workflows for lead routing, SLAs, data enrichment, duplicate alerts, meeting handoff, and post-event nurture sequences.
- Sales Operations: Support sequences and task queues, manage meeting links and round-robin assignments, maintain playbooks, and ensure pipeline hygiene and forecasting accuracy.
- Deliverability & Compliance: Oversee DNS/DKIM/DMARC configurations, monitor bounce and spam rates, and ensure GDPR compliance, including consent and preference management.
- Reporting: Build dashboards tracking meetings booked, funnel conversion, lead source attribution, and event or sponsor ROI.
- Integrations: Manage integrations with essential platforms and tools
- Enablement: Create simple SOPs and tutorials and serve as the day-to-day HubSpot point of contact for the team.
Coordination & Communication:
- Work closely with Chief Revenue Officer and B2B Sales team to gather and understand their specific data needs.
- Provide actionable data insights to improve operational efficiency and drive sales growth.
- 3–5+ years of experience in data management and/or sales operations.
- At least 2 years of hands-on experience working with HubSpot.
- Proven track record in building workflows, dashboards, custom properties, and managing user permissions within HubSpot.
- Advanced proficiency in Excel or Google Sheets (pivot tables, XLOOKUP, text cleanup, and use of regex when applicable).
- Strong understanding of GDPR, data consent practices, and email deliverability standards.
- Exceptional attention to detail, strong organizational skills, and excellent written and verbal English communication.
- Ability to work daily with teams operating in U.S. time zones.
Preferred qualification:
- HubSpot certifications (Admin, Marketing, Sales, or Ops Hub).
- Familiarity with telephony, data enrichment, and outreach tools integrated with HubSpot.
- Experience with SQL or basic Python for data cleaning, and familiarity with BI tools such as Power BI or Tableau.
- Basic knowledge of HTML for email or template customization is a plus.
